2. Information we collect

  • • Identification and contact details: name, address, email, telephone number, date of birth.
  • • Verification data required by anti-money-laundering rules, such as photographic ID and proof of address.
  • • Financial and tax records: accounting records, bank statements, invoices, payroll data, National Insurance and UTR numbers, HMRC correspondence.
  • • Enquiry details you submit through our contact form or booking calendar.
  • • Limited technical data such as IP address and browser type when you use this website.

3. Why we process your data

We process personal data to respond to enquiries, provide accountancy, bookkeeping, tax and advisory services, meet our legal duties (including anti-money-laundering checks and HMRC filing requirements), maintain our own business records, and comply with ACCA professional standards.

4. Lawful bases

Depending on the activity, we rely on the performance of a contract (delivering engaged services), legal obligation (AML, tax and companies legislation), legitimate interests (practice administration and service improvement), and consent (marketing emails, which you can withdraw at any time).

5. Sharing your data

We may share data with HMRC and Companies House, our accounting, payroll and cloud software providers, professional indemnity insurers, our regulator or professional advisers, and where required by law. All processors are bound by confidentiality and data protection terms. We never sell your personal data.

6. Retention

Client records are ordinarily retained for at least six years after the end of the relevant tax year or the end of our engagement, in line with HMRC and professional requirements. Enquiries that do not become engagements are deleted within 12 months.

7. Security

We use reputable UK or EU hosted software, access controls, encryption in transit and secure disposal of paper records. Access to client data is limited to those who need it to deliver our services.

8. Your rights

You have the right to access your data, request correction or erasure, restrict or object to processing, request data portability, and withdraw consent. Some rights are limited where we must retain records by law. To exercise a right, email enquiries@nekiiconsultancy.co.uk. If you are unhappy with our response you can complain to the Information Commissioner’s Office at ico.org.uk.
